Tax Schemes in Gridaly is an advanced tool that allows you to precisely manage VAT rates for different products, countries and customer types. They allow you to flexibly configure your organization's tax policy, which is crucial when selling internationally or offering products with different VAT rates.

Where to find the Tax Schemes module?

Unlike most settings, which are configured at the level of a specific event, Tax Schemes are managed centrally, at the level of the entire Organization.

Step-by-step instructions:

  1. In the administration panel, in the menu on the left, go to Organization.

  2. Select the Tax Schemes tab.


Create and configure a new Tax Scheme

The Tax Scheme is a set of rules that determines which VAT rate to apply depending on the customer's country and whether the customer is an individual or a company.

Step-by-step instructions:

  1. On the Tax Schemes page, click the "Add Tax Scheme" button .

  2. In the form that appears, fill in the basic information:

    • Name: Enter a name that allows you to easily identify the scheme (e.g., "EU rates for digital services").

    • Default schema: Check this option if you want this schema to be automatically applied to all new products in your organization.

  3. Save changes. The new scheme will appear in the list.


Defining VAT rates in the schema

Once you have created a scheme, you must define specific tax rates in it.

  1. In the list of tax schemes, click the "Rates" button next to the scheme you want to edit.

  2. You will see a list of rates. Click "Add rate", to add a new rule.

  3. In the rate form, configure the following options:

    • Country: select from the list the country for which you want to define the rate. You can also select "All countries", to set a global rate.

    • VAT rate (%): Enter the tax percentage (e.g., 23.00 for 23%).

    • Description: add a short description that will appear on the invoice (e.g. "VAT 23%").

    • Additional options:

      • Applies to companies: Check if the rate is to apply only to company customers.

      • Applies to individuals: Check if the rate is to apply only to individuals.

      • Default rate: Check if this is to be the default rate under this scheme.

💡 Tip: Stationary events
Remember that for stationary events that are held and billed in the same country (e.g., Poland), the service is subject to the local VAT rate. In this case, the reverse charge mechanism does not apply, even for customers from other EU countries.

Configuration example:

You want to sell tickets throughout the European Union with a reverse charge mechanism for companies.

  1. You create a rate for Poland, enter the rate of 23% and indicate that it applies to both companies and individuals.

  2. You create a second rate for "All countries", enter a rate of 0%, describe it as "Reverse charge" and indicate that it applies only to companies.

  3. You create a third rate for "All Countries" and set local VAT rates for individuals in each member country.


Assigning a Tax Scheme to a Product

For the scheme to work, you need to assign it to a specific product (e.g., ticket, ticket add-on).

  1. Go to edit the product(Tickets).

  2. In the ticket editing form, find the field "Tax scheme".

  3. Select a previously configured scheme from the drop-down list.

  4. Save the changes.

From then on, when purchasing this product, the system will automatically apply the appropriate VAT rate from the selected scheme, depending on the customer's data.


FAQ

What happens if there is no defined rate for a given country?

The system will look for the default rate in the given scheme. If it does not find it, it will apply the global VAT settings from the event configuration.

Can I have multiple tax schemes?

Yes, you can create as many schemes as you want and assign them to different products, giving you full flexibility in managing your tax policy.

I changed the rate in the scheme. Will this affect tickets that have already been sold?

No. Changes in tax schemes work "for the future" and do not modify already existing paid orders and invoices.
