SMS messaging in Gridaly is a quick way to reach your event attendees - especially in situations that require an immediate response: change of hours, venue reminders, payment or special instructions on the day of the event.

SMS messages are sent directly from the platform and arrive on the attendee's phone - regardless of whether they are using the app or reading emails.

How to set up an SMS message in Gridaly - step by step

  1. Log in to the administration panel at app.gridaly.com.

  2. Select the event you are interested in from the list of available events.

  3. Go to Communications → Text Messages in the event panel.

  4. Click the icon (New text message).



  5. Enter the content of the message (pay attention to the number of characters - more on this below).

  6. Select a group of recipients (more information in the next section).

  7. Set the date and time of sending or leave the field blank (in this case, the system will send the message as soon as you press Send).

  8. Scroll to the bottom of the page and save.

  9. Click the Show eye icon.



  10. Press Send. It is possible to send a test message to the Organizer's number.






To which groups can messages be sent?

When creating a message, you can specify the group of recipients to whom the SMS will be sent. Available segments are:

  • All participants - only with confirmed status (note: also inactive accounts)

  • First notification

  • Invitation sent

  • Status unconfirmed

  • Absent at the event

  • Payment during

  • Attendees at the event

  • Participants with a specific role - the ability to select roles for messaging

  • Participants with selected tag

  • Only participants with marketing consent



How SMS character limits and billing work

Sending SMS involves character limits and billing:

  • One SMS is a maximum of 160 characters.

  • If the message exceeds 160 characters, the system automatically divides it and charges subsequent SMS.

    • Example: 161 characters = 2 SMS for one person.

  • Polish characters (e.g. ą, ę, ś) are counted twice - can shorten the limit to about 70 characters per SMS.

  • Sending cost: PLN 0.20 per SMS (i.e. 100 SMS = PLN 20).

  • Sender name limit is a maximum of 11 characters.

The limit of sms messages available to send is set by the account manager on the Gridaly side.

How to use dynamic fields

To personalize your messages, you can add dynamic fields, which will be automatically replaced with the participant's data (e.g. name or ticket link).

Available dynamic fields include:

Participants:

  • {id}, {name}, {email}, {profile.firstname}, {profile.surname}.

  • {eventAccessUrl}, {token}, {profileLink}, {profileDeleteAccountLink}.

Ticket:

  • {ticketUrl}, {pdfPassUrl}, {applePassUrl}, {googlePassUrl}.

To use a field, simply click it in the panel and paste it into the SMS content.



Important!
Characters contained in dynamic fields, including links to a ticket, access to an event or other information, also count towards the character limit. So be sure to consider the length of this data when creating your SMS message. Links may take up a significant portion of the available characters, which may lead to the need to split the message into more than one SMS.

Can I send a message only to people who did not attend the event?

Yes, select the audience group "Not present at the event".

What happens if my message is longer than 160 characters?

The system will charge 2 SMS (or more if you use Polish characters), and the cost will be higher in proportion to the length.

Can I schedule an SMS to be sent at a specific time?

Yes, you can set the date and time of dispatch during message setup.

Can I send a link to the ticket in a text message?

Yes - use the dynamic field {ticketUrl}, {pdfPassUrl}.
