Records management
For Program Points that require registration, you can precisely define the rules of enrollment. This gives you full control over the number of participants and communication with them.
How to configure the records?
In the admin panel, go to Program.
Select an existing Program Point or create a new one.
In the editing form, find the section dedicated to records.
Set the appropriate parameters:
Seat limit: Enter the maximum number of people who can sign up for the item. Leaving the field blank means there is no limit.
Enable reserve list: Check this option to allow participants to enroll in the reserve list after the limit of seats has been reached.
Hide the number of free seats: Check if you do not want participants to see how many seats are left.
Video Embedding
Enrich your Program Points with video content - lecture recordings or supplementary materials. The Gridaly platform supports video embedding from YouTube and Vimeo.
How to embed a video?
When editing a Program Point, go to the Video tab .
Select a video service provider(YouTube or Vimeo).
Paste the link to the video in the appropriate field.
Save Changes. The video will be automatically embedded on the Program Point page, available to participants.
Visibility Control (Role)
You can decide which Program Points will be visible to everyone and which will be visible only to selected groups of Participants. This feature is ideal for VIP meetings, sessions for specific ticket holders or workshops for specific roles.
How to reduce visibility?
In the Program Point edit form, find the Role field .
2. By default, each Program Point is visible to everyone.
3. To restrict access, select from the list one or more roles that are to have access to this item. Only participants with assigned roles will see this item on their agenda.
4. Save the changes.
Evaluating Program Points
Collect feedback from Participants on individual sessions using the rating system. Ratings are visible in the admin panel and can serve as a valuable source of feedback.
How do you turn on the ratings?
When editing a Program Point, find the option Enable evaluations for this program point.
Check the box to activate the rating option.
After the Program Point, Participants will be able to give a rating on a scale of 1 to 5 stars.
You can find the results of the evaluations in the panel, in the details of the respective Program Point.
Self check-in (confirmation of attendance)
Allow attendees to self-confirm their attendance at a given Program Point. This feature is useful for monitoring attendance, especially at hybrid or stationary events.
How to set up self check-in?
In the Program Point settings, check the option Enable self check-in.
You can additionally specify the time, at which reporting will be possible, such as 15 minutes before the start and up to 30 minutes after the end.
Participants will be able to check in directly on the app or on the web platform by going to the details of a particular Program Point.
Automatic notifications
Automate communications and remind participants of key agenda items. You can enable automatic notifications that will be sent when an Agenda Item starts.

How to enable automatic notifications?
When editing a Program Point, find the Notifications section .
Check Enable notification when program point starts.
Select a group of recipients, to which the system should send a notification:
Participants with "My Agenda": Only those who have added this Agenda Item to their personalized agenda will receive a notification.
All participants: A message will be sent to all participants of the event.
You can also customize the title and content of the notification to better fit the nature of the session. If you don't, the system will use the default texts.
Save Changes. A notification will be sent automatically at the start of the Program Point.
