Manage pricing, availability and ticket limits

Learn how to precisely manage pricing, pools, limits and ticket visibility. Correctly configuring these options will allow you to flexibly shape your offerings, create time-based promotions, control sales, and customize your strategy for your event.

1. Types of ticket pools - the foundation of your sales strategy

Before setting up pricing and limits, you must choose how your ticket pools will work. This setting is available on the Price tab , in the Pool Type field , and cannot be changed once you save your ticket.

  • Time-Based(Time-Based): This is the most common choice. In this model, each price pool has a specific start date. The next pool activates automatically when it arrives, regardless of whether the previous one has sold out. Ideal for creating price thresholds, such as Early Bird, Regular and Last Minute.

  • Quantity-Based(Quantity-Based): In this model, the next price pool activates only when you manually trigger it. The start date is ignored. This type is for when you want full, manual control over when to start selling the next batch of tickets, such as after the previous batch has sold out.

2. configuration of price pools (e.g. Early Bird, different currencies).

Pools allow you to manage prices flexibly. You can use them to create price thresholds or to offer tickets in different currencies.

Step 1: Go to the "Price" tab
In the ticket editing form, go to the Price tab .

Step 2: Configure or add a pool
The system creates one pool by default. You can edit it or add more by clicking Add Pool.

  • Pool Name: Enter a name that will help you organize (e.g. "Early Bird", "Regular Price"). This name will be visible to buyers, if you enable the following options.

  • Start Date: Specifies when the pool will become active (for Time-Based pools only).

  • Price: Fill in the amounts for all currencies configured in your event's payment settings. The fields will appear automatically.

  • Pool limit: Determines how many tickets are available within this specific price pool. Once this limit is exhausted, the pool becomes inactive.

Communicating promotions - visibility of pools

Within each pool, you can configure two additional options that communicate your pricing strategy to participants:

  • Show active pool information: When enabled, the name of the pool currently in progress (e.g. "Regular price") will appear next to the ticket price on the registration page.

  • Show information about future pools: This option will display a list of upcoming pools below the ticket, along with their names and start dates. It's a great way to encourage a faster purchase by showing that the price will go up soon.

Early Bird Example :

  1. Pool 1: Name "Early Bird", set the price to 100 PLN and enable "Show information about active pool".

  2. Pool 2: Name "Regular Sale", set the start in a month, set the price to 150 PLN and turn on "Show information about future pools" in both pools.
    Effect: Participants will see that the ticket is at the "Early Bird" price and that in a month the price will increase in the "Regular Sale" pool.

3. sales limits management

Limits allow you to precisely control the distribution of tickets. You can find them in the Limits tab .

  • Limit (overall): This is the total, overarching number of tickets, which can be sold for this product, regardless of the number and limits of individual price pools. If sales from all pools reach this limit, the ticket will be sold out.

  • Pool limit: Located in the configuration of each price pool (under the Price tab ) and applies only to that specific pool.

  • Limit per order: Determines how many pieces of a given ticket one participant can maximally buy in one transaction.

Tip: If you want to publicly show how many tickets are left on sale, enable the Show Limit Value option on the Limits tab . It will show the value from the General Limit.

4. timed sales availability

This option allows you to set a "teaser" - the ticket will be visible on the site, but with information on when the sale will start.

Step 1: Go to the "Basic" tab
In the ticket editing form, open the Basic tab .

Step 2: Enable and configure the timeframe
Find the Limit availability over time switch and activate it. Set the dates below:

  • Available from: Sale Start Date and Time.

  • Available until: Date and time the sale ends.

5 Ticket Visibility and Private Ticket.

You can precisely control who sees a ticket and when on the registration page. You can find these options under the Basic tab .

Visibility options

The Visibility field allows you to select one of three options:

  • Always visible: Default setting.

  • Visible when on sale: The ticket will appear on the site only when the start date of its active price pool arrives.

  • Visible at a specific time: The ticket will be visible on the site only during the time frame you define(Visible from... to).

Private Ticket

This is a separate feature, ideal for special tickets (for VIPs, speakers) that should never appear in the public list.

Step 1: Turn on the "Private" option
In the Basic tab, find the Private switch and turn it on.

Step 2: Share the link
After saving the changes, the Private link box will appear in the same place . Only those with this link will be able to purchase a ticket.


FAQ

What is the difference between Pool Limit and General Limit?

The pool limit (on the Price tab) controls the number of tickets at a given price. The overall limit (in the Limits tab) is the overriding total number of tickets to be sold for a given product. If you set the overall limit to 100, sales will stop after 100 units, even if the limits in individual pools would allow more.

How to create an Early Bird offer that is limited in time and quantity?

Create an "Early Bird" (Time-based) pool, set its end date and specify the Pool Limit. Create a second "Regular" pool with a start date the same as the "Early Bird" end date. The "Early Bird" ticket will be available until the limit is reached or until the end date, whichever comes first.

Is a private ticket the same as a hidden ticket?

Functionally yes, but it is a separate, dedicated option. Use the Private switch for tickets that you want to be accessible only from a link. Use the options in the Visibility field to dynamically show and hide public tickets.
