The Scan4Lead feature is an ideal tool for generating new sales contacts by exhibitors/partners at events using the Gridaly mobile event app or a dedicated mobile app from Gridaly. In the article below, we explain step-by-step how to prepare your team, scan attendees, and efficiently export a ready lead database.

Step 1: Preparation and roles at the booth

Before you start collecting contacts, make sure your team is properly prepared technically and systematically.

  • Everyone using this feature is required to download the same app as the event attendees.

  • Depending on the event, this will be the Gridaly Event App or sometimes a dedicated app for a given organization. Both apps can be downloaded for free from the Play Store (Android devices) and the App Store (Apple iOS devices).

  • Booth staff must be linked to the appropriate virtual booth in the app.

  • There are two roles for booth staff:

    • administrator - manages attendees, content, and has access to download the xlsx file with collected contacts.

    • editor - allows editing booth content, does not provide access to scanned contacts.


Step 2: Getting started with the app

To start collecting contacts, launch the downloaded app on your mobile device.

  • Enter the app and click on the QR profile on the bottom navigation bar.

  • Next, select your booth tab ("Moje stoisko" / "My expo") and enter the Scan leads function.


Step 3: Scanning the attendee's code

Once you strike up a conversation with a potential client at the booth, you can quickly save their details.

  • After entering the scanner, scan the attendee by pointing your camera at their QR code (remember to allow the app to use your phone's camera beforehand).

  • The QR code is located in the attendee's profile in the mobile app or on the attendee's badge.


Step 4: Adding a meeting note

The system allows you to instantly organize the context and results of the conversation.

  • After a successful scan, optionally add a note to the scanned person.

  • Enter the details in the form (e.g., in the Title and Content fields), and then click the "Save new note" button.

  • Importantly, this note is visible only to the fair administrator and your booth.


Step 5: Downloading the lead database

Available only to booth administrators

After the event ends (or during it), as an administrator, you can export the entire collected list.

  1. Enter the platform by clicking the manage company profile button (in the mobile app) or log in to the web platform on a computer.

  2. While in the web panel, open your booth.

  3. Click the button to edit settings (the "Edit" button).

  4. In the side menu, select "Forms" and download the Excel file by clicking "Download Excel file".

1. As an "Editor" at the booth, can I download the contacts file?

No. The editor allows you to edit booth content but does not provide access to scanned contacts. The option to download the file is available only to the administrator.

2. Who can read the notes added after scanning an attendee?

Notes entered during scanning are completely private. This note is visible only to the fair administrator.

3. Where can I find the app needed for scanning?

You need to download the Gridaly Event App or a dedicated app for a given organization from the Play Store (Android) or App Store (iOS). Everyone using this feature is required to download the same app as the event attendees.
